Job Description

 We are seeking a Team Administrator to provide administration support to the HR Director and the wider HR team.  This is an exciting role to work within the HR function and provide day to day support to the team. 

Main Duties 

  • Provide day to day assistance to the HR Director and team including diary management, rescheduling and prioritising both internal and external meetings
  • Managing a complex diary to include co-ordination with other Executive Assistants 
  • Organising diary to include setting reminders for meetings, appointments and important tasks
  • Booking all travel and accommodation for the team 
  • Preparation of quarterly board packs using power point with a strong attention to detail 
  • Creating and preparing ad-hoc power point presentations  
  • Escalation of key approvals and decisions, in line with corporate governance, to meet business deadlines. 
  • Project management of People Playbook activities, ensuring the HR work streams are on track to meet monthly deadlines. 
  • Communication with other Regional HRD’s in relation to global project requirements.
  • Creating and managing excel spreadsheets including project plans  
  • Manage the invoice purchase order process within the finance system, completing the process through to payment 
  • Deal with queries on the phone and in person from the team 
  • Photocopying, printing and scanning documents as requested 
  • Liaise with other office Team Administrators and Business Assistants 
  • Support with ad-hoc projects and initiatives
  • Managing highly confidential information 

Qualifications

  • Proven administration experience working effectively as part of a busy team 
  • Strong attention to detail, with the ability to multitask and adapt in a fast-paced environment
  • Ability to produce quality work in short timescales and under pressure 
  • Strong communication skills
  • Excellent Microsoft Office skills using Word, Excel, PowerPoint
  • Able to demonstrate excellent organisational skills and be self-motivated and proactive 
  • Ability to work as part of a team and be able to work on own initiative
