Job Description

The role is full time, the team is geographically spread across the UK, so open to location. A challenging role which requires an eye for detail and the ability to maintain accuracy when dealing with a large volume of work and Purchase Order numbers. You’ll be working alongside a reliable team and will report to the head of PMO. Good record keeping is essential, and training will be provided on the system tools being used.

Role Responsibilities

  • Collate works done from the various team members & communicate these works to the clients.
  • Collate the PO numbers sent in to cover these works.
  • Enter the invoicing onto the system tools to allow for issuing to the clients and payment thereof.
  • Reporting to the Group finance manager in the first place and  Director as and when required.
  • Dealing with Shareholders, working any issues through with individual invoices taking a pragmatic approach whilst not losing sight of the details.
  • Running the core reports which most internal and external reporting is based on
  • Development and maintenance of new reports and tools to assist the PMO to enable the wider team to use data more effectively.
  • Develop tools using excel or MS Power BI, the ability to problem solve and train the end users would be very beneficial.

Specific Deliverables

  • Where necessary, creating procedure and policy documents and guidelines.
  • Creating project status reports for senior management.
  • Establishing and maintaining governance arrangements for the delivery of projects and/or programmes and/or portfolios, defining clear roles, responsibilities and accountabilities that align with organizational practice
  • Identifying and monitoring project and/or programme and/or portfolio risks (threats and opportunities), planning and implementing responses to them and responding to other issues that might affect the project and/or programme and/or portfolio
  • Developing, maintaining and applying quality management processes for project and/or programme and/or portfolio activities and outputs
  • Consolidating and documenting the fundamental components of projects and/or programmes and/or portfolios (scope, schedule, resource requirements, budgets, risks, issues and quality)
  • Preparing and maintaining an overall schedule for resource use, which avoids bottlenecks and conflicting demands, and sequencing outcomes, to enable the efficient realisation of benefits 

 

 

 

Qualifications

  • Knowledge of Globally utilized process management business systems such as but not limited to: PACS,  Skype, and TEAMS. Preferable but training will be provided.
  • Computer literate with an understanding and experience of spreadsheets, databases, MS office, knowledge of Microsoft Power BI.
  • Excellent organization and time management is essential due to variety of tasks required.
  • Ability to work under pressure, be discrete as handling confidential information, and meet tight deadlines.
  • Highly IT competent as majority of tasks are generally based on online tool.
  • Must have good inter-personal skills.
  • Ability to efficiently work remotely as part of a UK-wide team.
  • A conscientious individual that can drive their own performance and workload
  • Microsoft Excel (advanced)
  • Microsoft Power BI
  • Other PC languages such as SQL etc would be beneficial
  • Knowlege of invoicing software (preferred but not essential)
