Job Description

Make your mark as a Management Assistant for Boskalis Subsea Services in Aberdeen.  The Management Assistant provides a comprehensive secretarial and administrative support service to the Finance Director, being comfortable in handling matters independently, quickly and effectively and switch easily, internally and externally between various interfaces.

Your responsibilities as Management Assistant:

The main responsibilities of the role include, but are not limited too; 

  • Produce letters, emails, presentations, agendas, reports as required for Department, Board and Executive meetings.
  • Monitor and manage email, including prioritizing and responding as required.
  • Organise, schedule, and confirm internal and external meetings.
  • Provide support/assistance for meetings, schedule and confirm travel arrangements including accommodation and travel visas.
  • Administer requisition/purchase orders and invoice signing related to Leadership Team/Board.
  • Provide cover for Managing Director's Management Assistant on an ad-hoc basis.
  • Take minutes and/during or capture actions during meetings when requested.
  • Any other delegated responsibilities as instructed by line management or leadership teams within the timeframe specified, in a safe and efficient manner to meet business requirements.

You can make your mark as Management Assistant if you have:

  • Previous experience gained as Personal/Executive Assistant in an office environment preferably Oil & Gas industry. 
  • Computer literate with experience of office applications, including Word, Excel, Outlook and PowerPoint. 
  • Excellent communication and interpersonal skills with ability to support and interface with people at all levels.
  • Support and interface with people at all levels.
  • Work using own initiative and plan/organise a high and varied workload.
  • Effectively manager changing/conflicting demands and priorities.
  • Able to work confidentially, effectively handling confidential and highly sensitive information, with a high level of professionalism and integrity.
