Full-time, 37.5 hours per week.

• 9am to 5pm

Role Summary:
The Medical Secretary at Medinet is responsible for providing high-quality administrative support to clinicians and ensuring that all medical correspondence is handled efficiently. This role will oversee the management of clinic letters, patient queries, and the timely completion of administrative tasks in line... with service-level agreements (SLAs). The Medical Secretary will work closely with the Patient Liaison Manager to ensure smooth communication between clinicians, patients, and the wider team, ensuring that all administrative functions related to contracts are handled promptly and professionally.
Main duties will include:
• Ensure the accurate and timely preparation and distribution of clinic letters, maintaining strict adherence to SLAs for turnaround times (TaT). Work with clinicians to ensure that all documentation is completed and shared with patients and the appropriate teams.
• Respond to patient queries regarding their appointments, follow-up care, and any outstanding administrative matters. Liaise with clinicians to chase any incomplete admin and ensure that patients are kept informed about their care.
• Manage the preparation, typing, and distribution of medical reports, referral letters, and other clinical documentation as required. Ensure that all documents are completed to a high standard of accuracy.
• Maintain and update patient records, ensuring that all information is stored securely and in compliance with data protection regulations. Work closely with the internal systems to manage patient and clinician information.
• Work directly with clinicians to support the completion of their administrative tasks, ensuring that all reports, notes, and letters are completed within the specified timeframes. Ensure clinicians receive regular reminders about outstanding tasks to avoid delays.
• Work with the Patient Liaison Manager to monitor and maintain compliance with SLAs. Identify any potential delays in meeting deadlines and take proactive steps to resolve issues.
• Collaborate closely with the wider administrative and clinical teams to ensure smooth communication and handover of information. Assist the Patient Liaison Manager with any administrative projects or tasks as required. You will be supporting the regional structure working closely with CAMs and SOMs to deliver an excellent service to our customers
• Ensure that all patient and clinician information is handled with the utmost confidentiality. Follow all legal and company guidelines relating to patient privacy, information governance, and data protection.
Person specification and requirements
Experience:
• Minimum of 2 years of experience as a medical secretary or in a similar administrative role within a healthcare environment.
• Experience working with clinicians and managing patient correspondence in a timely manner.
• Familiarity with medical terminology and clinic operations.
Skills and Abilities:
• Excellent typing and administrative skills, with a high level of accuracy and attention to detail.
• Strong communication and interpersonal skills, with the ability to interact professionally with clinicians, patients, and other stakeholders.
• Proficiency in IT systems, including patient management systems, Microsoft Office, and database management.
• Ability to manage and prioritise multiple tasks, working to tight deadlines and SLAs.
Requirements:
• Proven experience in a medical secretarial or administrative role, preferably in a healthcare or clinical setting.
• Familiarity with clinical documentation processes and medical terminology.
• Strong organisational and communication skills, with the ability to manage competing priorities.
• Knowledge of GDPR and data protection regulations in relation to patient information.
• Ability to work independently and collaboratively as part of a team.
