Job Description
The Administrative Assistant is primarily responsible for front desk reception and administrative and clerical support.
Position is full-time, Monday-Friday, 1st shift with overtime as needed.
Essential Job Duties:
- Greets customers, clients and visitors to the laboratory daily and follows appropriate sign-in procedures to create a positive impression of Eurofins Environment Testing Northeast, LLC. – Pittsburgh business practices.
- Coordinates phone system coverage and serves as ultimate back up.
- Receives and routes mail, faxes and various business correspondences to the appropriate department or employee so that it may be processed in a timely manner daily.
- Codes invoices and obtains purchase order number for weekly processing by accounts payable.
- Assists Lab Department Managers to place orders through internal systems.
- Oversees our Consumable Purchasing/Inventory Control System.
- Performs basic office procedures according to standard operating procedures so information is appropriately maintained.
- Prepares outgoing mail and correspondence daily and ensures that it is shipped in the most cost-effective manner and received on a timely basis.
- Maintains office equipment as needed to ensure proper equipment operations.
- Prepares agendas, meeting notes and miscellaneous correspondence upon request to enhance internal communication.
- Inventories and orders office and lab supplies (current system is Coupa) so appropriate supply levels are on hand - including sourcing supplies when not available.
- Manages basic facility service calls/agreements as needed by the lab
- Assists in planning lab events
Qualifications
Basic Minimum Qualifications:
- High School diploma or equivalent; Course work in business or computers preferred
- Some previous customer service experience
- Previous experience working with computers
- Authorization to work in the United States indefinitely without restriction or sponsorship
The ideal candidate would possess:
- 2-3 years of related experience
- Knowledge of computers and Microsoft Office programs
- Experience operating standard office equipment
- Customer service skills and experience
- Invoicing and/or ordering experience
- Excellent communication (oral and written) and attention to detail
- Ability to work independently and as part of a team, self-motivation, adaptability, and a positive attitude
- Ability to learn new techniques, perform multiple tasks simultaneously, keep accurate records, follow instructions, and comply with company policies
Additional Information
Pay rate: $18.03-20/hour
Please note - Eurofins Environment Testing (USA) provides a compensation range for informational purposes, the actual base salary may vary based upon, but not limited to, relevant experience and skill set, base salary of internal peers, business sector, and geographic location.
