This role is required to provide administrative support to the People & Culture UK & Europe team, including:
• General administrative P&C support, including document generation, supporting P&C processes (e.g. drafting employee letters, responding to reference requests), meeting and calendar coordination, event coordination, office administration, travel & expenses, invoicing and vendor management.
• Organisational Development (OD) & learning support, including managing logistical arrangements for internal and external learning events, Oracle learning support for managers and employees, and reporting.
• Talent Acquisition support, including interview set-up and coordination and administrative support as part of the recruitment process.
Responsibilities include
General Team Support:
• Draft employee letters, references and other required activities ensuring accuracy and confidentiality at all times.
• Provide administrative support as required, including calendar management, travel, expenses and ad hoc support as required.
• Handle invoice processing for the team, ensuring accuracy and timely payment.
• Organise internal and external meetings and catering requirements.
• Organise team events as required.
OD & Learning Support:
• Manage logistical arrangements for internal and external learning events, including scheduling, organising catering, collecting materials and booking rooms.
• Address employee inquiries about learning events.

• Set up learning events in Oracle, creating registration links for inclusion in the monthly communication.
• Provide troubleshooting support to employees facing Oracle-related issues.
• Prepare reports on training attendance, completion rates, and feedback for quarterly learning reports and NH learning reports.
• Talent Acquisition Support:
Schedule interviews for candidates and hiring managers.
• Undertake workflows and administrative activities associated with pre-boarding of recruited staff.
Business Knowledge:
- Discretion and confidentiality is essential, as the role holder will have access to sensitive people data.
• Understanding the principles relating to the delivery of administrative services.
• Contribute to the overall effective operation of the company by delivering a consistently high standard of work in a timely manner.
• Highly organised and able to prioritise tasks across multiple stakeholders and escalate accordingly.
• Ability to work collaboratively across the team, undertaking tasks for multiple stakeholders.
Your Background and Experience
• 2-5 years in administrative support in a corporate environment.
• Excellent attention to detail.
• Prior experience in a deadline driven reporting environment would be highlight desirable.
• Experience coordinating across multiple stakeholders.
Intermediate skills in MS Office Suite.
• Knowledge of and experience with procurement processes desirable but not essential.
• Knowledge of and experience with administrative processes desirable but not essential.
• An interest or experience in the field of Human Resources is desirable but not essential.
