The role of Operations Manager requires a self-motivated, disciplined individual to take ownership of the efficient day to day running of the practice, supporting the Head of Operations and Practice Manager and working as a key member of the Management Team.

Human resources:
Manage staffing in line with Head of Operations and Practice Manager
Ensure personnel records are maintained for all staff, including DBS checks, absenteeism and training records
Implement mandatory and personal development training
Implement induction training for new staff
Advertise and collate applications for all new posts as they arise, liaising with candidates and management team diaries to ensure smooth recruitment and selection process.
Finance:
Implement and maintain insurances for the practice
Prepare claims as advised by the Practice Manager for enhanced and other services and ensure payment received
Monitor monthly claims and invoice submissions for... receipt
Organisational:
Project manage our new pilot, Demonstrator site in conjucntion with NHS England
Review and maintain the practice continuity plan
Create and maintain a practice policy register and ensure the reviews are
completed appropriately.
Responsibility for the agenda, minute taking and circulation of non-clinical meetings
Generate reports to support the LTC system and monitor recalls for the LTC clinics
Deputise in the absence of the Head of Ops
Ensure the smooth running of the admin department and its processes.
Be responsible for the day-to-day supervision of admin and associated functions ensuring they are carried out in accordance with agreed procedures, protocols and time scales.
Deputise for Head of Operations in responding to all clinical and non clinical complaints
To manage the admin team and support the administrators, coders, secretaries and care coordinators
To maintain up to date knowledge of protocols and developments in primary care
To offer general assistance to the practice team and ensure a positive and friendly experience to patients and staff.
To act as a role model to the admin team, supporting, motivating, and promoting staff relations.
To undertake a variety of administrative duties to assist in the smooth running of the practice.
To be a critical part of the practice management team and provide cover for holidays and leave periods of other Operations Managers.
Premises and Equipment:
Delegated responsibility from the Head of Operations, in relation to all aspects of building maintenance and security
Responsible for stock maintenance at all levels and financial efficiency of the same
