Job Description

Position: Bid Team Leader

Department: Sales

Reports to: Sales and Marketing Manager

Location: Hybrid: Home/ Head Office: 5th Floor, Queen Elizabeth House, 4 St Dunstan's Hill, London, EC3R 8AD

Main Job Purpose

To co-ordinate the end-to-end proposal and bid campaign from expression of interest, PQQ & ITT/RFP submission and hand over to Account Management and Operations. To provide new business support to the sales team, developing winning presentations and proposals for sales opportunities, gathering product information from within the global business, and managing a central knowledge-base of service data. To lead and manage a team of direct reports to... achieve the aims of the department as part of and alongside your own output/delivery.

Specific Tasks
• Ensuring all bid/tender/contract portals/gateways are monitored for relevant opportunities
• Allocation of work for completion and ongoing tasks amongst Bid team
• Tracking progress of all bids/rfps in progress and potentially upcoming across the team members
• Ensuring all Expressions of Interest, PQQs and ITTs are prepared and submitted on-time
• Summarising and identifying key requirements to enable the wider business to evaluate opportunities and make Bid/No Bid decisions
• Composing compelling RFP responses and proposals, including writing new material, identifying and re-working pre-written content and engaging with subject matter experts
• Owning the compilation and production with interaction from relevant sales and operations staff
• Ensuring that the company’s Bid/RFP processes are correctly followed and administered
• Ensuring consistency across each bid/proposal – both in terms of the content and presentation
• Coordinating the commercial aspects with internal stakeholders to ensure pricing is submitted in the correct format and as agreed by the stakeholders
• Tracking and reporting on the progress of documents according to agreed deadlines and escalating any issues to the Sales and Marketing Director
• Maintain a central library of bid content
• Gathering and updating corporate and product information to ensure that sales staff are equipped with up to date and relevant data to facilitate the sales process
• Maintain awareness of relevant market factors including legislation, innovation and technology development, industry trends
• Maintain awareness of Social Value and CSR trends and their impact on procurement exercises
• Working directly with the relevant members of the Exec Team to discuss related matters (i.e. approach, strategy, pricing)
• Escalating positive and negative feedback from tender/rfp outcomes to the Senior team
• Goal setting for individuals within team aligned to broader team/company goals
• Performance management of team members against set/agreed personal targets
• Management of team member presence/absence to ensure suitable departmental coverage/capacity/functionality for the business at all times
• Maintaining relationships with other teams and raising profile of bid team functions to ensure continuous knowledge sharing within organisation
• Recruitment duties as required
• Any other duties appropriate to the position

Person Specification

The following range of experience, knowledge and skills are required:

Essential
• Minimum 5 years in a bid management/business development/content management role
• A levels: A minimum of three higher level grade qualifications or above
• Excellent verbal and written communication skills
• Proven prioritisation and time-management skills
• Process driven, highly organised with strong administration skills and attention to detail
• Independent worker, with experience of managing own workload
• Flexible approach to work in order to achieve demanding goals and meet both short and long term priorities
• Competency in Microsoft Office
• Experience of end-to-end bid/RFP management from opportunity identification to submission and handover to Account Management/Operations
• Proven ability to:
• support and inform all stakeholders, including Directors across the business
• understand and define customer requirements from a variety of sources
• work and maintain focus in a fast paced, high pressure role
• multitask and be comfortable in a busy role
• maintain momentum for own work and across stakeholder group
• build strong and credible professional working relationships
• network with a range of stakeholders including: directors and senior managers, sales team, operations, accounts and other departments

Desirable
• Experience in the translation and/or interpreting industry and/or experience of public sector tendering
• Knowledge of Loopio or similar content management systems
