Our well-established Bids Team is integral to the success of our business. Working as part of the wider Sales & Marketing Team, you’ll contribute to the work-winning lifecycle through the end-to-end bid process, primarily in the UK, and Europe as needed.
Expectations of the role are to contribute to the creation of high-quality, high-impact and compelling bid materials, support wider business plans and oversee, promote and endorse best practice in operational aspects of the bid function. With a collaborative working style, you will be responsive to changing priorities in managing short and longer-term projects critical to bid best practice, bring notable organisational skills, have an interest in and aptitude for content and knowledge management, editorial excellence and be... focussed on driving continuous improvement.
Overview of Role:
This is a varied role working closely with Bid Team colleagues, the wider Sales & Marketing team and other colleagues across the RLB business.
The role is key to championing best bidding practice through oversight and management of the Bid Team functions focussed on managing and coordinating critical operational elements. This encompasses creation of highly compelling, tailored best practice written resources and processes throughout the bid lifecycle that underpin and promote a robust and structured framework for the operational aspects supporting overarching bid strategy. Responsible for weekly, monthly and quarterly pipeline reporting as well as support with portal management.
Key Responsibilities:
Primary responsibilities are to lead, oversee and manage a range of critical operational bid activities, incorporating content creation, coordination and administration.
• Data and knowledge management: lead the administration of bids-related elements of centralised tools and resources (for example bid tracking, CRM records, Bid Information Database, intranet, organisation-wide library (etc). Responsibilities will include, e.g. collateral management, review and updates, and production of various reports and MI.
• High-quality, client focussed bid submissions: support bid teams to deliver strategic and high value bids, developing persuasive written proposals which clearly articulate RLB’s offering, win themes, added value, relevant experience and benefits delivered.
• Fit for purpose bid library: Generate best practice bid responses to populate bid library. Combine high-scoring material from previous proposals with newly created content utilising expertise of technical teams.
• Portal and subscription management: responsibility for and oversight of registrations, monitoring and maintaining accounts and registrations, including identifying and actioning incoming collateral, information and notifications. Oversee monitoring and management of client/target portal activity, including disseminating and sharing tender clarifications and facilitate appropriate action in response.
• Desktop publishing, branding and design: Drive visual impact and excellence in format and design, championing, guiding and advising on adherence to brand and templates in formatting bid and presentation documents in Microsoft and Adobe software. Advice and guidance on development of visuals to support and endorse bid content and messaging, including e.g. infographics.
• Document drafting: co-ordinating and advising on content drafting in response documents including for example Standard Selection Questionnaires (SQ), Requests for Information (RFI) and pre-qualification questionnaires (PQQ) etc.
• Liaison with the wider business: Collaborating with wider business units including members of the Marketing & Sales team, Legal, Finance and HR to source information, content and approvals.
• Administration and team ‘housekeeping’ as required, including collateral management, reporting, support on special projects etc.
• Input to special projects: as needed.
Person Specification:
The role is suited to a focused and motivated individual with a proven track record of success in a bids or business development environment. Expectations include teamwork, project management abilities, editorial strength, effective time and project management and ability to prioritise and balance short and long-term projects and activities.
• Experience in a bids, business development or marketing coordination or administration role.
• Professional services or construction industry experience would be an advantage.
• Quality-focussed, with high attention to detail.
• Ability to flex and reprioritise as required.
• APMP accreditation would be an advantage (although training and accreditation can be provided as part of the role).
• Proficiency in Microsoft Office (Word, PowerPoint, Outlook, Teams) is essential.
• Proficiency in Adobe (InDesign, Illustrator etc) would be beneficial.
• Willingness to adapt and embrace ideas and innovations.
