Receptionist/Personal Assistant (PA) - London Martial Arts and Fitness Academy
Location: 248 High Street, Beckenham, Kent BR3 1DZ
Salary: £30,000 to £36,000 per year (depending on experience)

London Martial Arts and Fitness Academy is a premier fitness and wellness center offering martial arts training, fitness classes, and Truform, our reformer Pilates studio. Our goal is to transform lives through a range of services, including hot yoga, hot Pilates, mat Pilates, sound baths, and other wellness offerings. We are seeking an organized, energetic, and customer-focused Receptionist/Personal Assistant (PA) to join our growing team and help manage the day-to-day operations of the academy.
Job Overview:
As the Receptionist/Personal Assistant (PA) at London Martial Arts and Fitness Academy, you will be the first point of contact for all clients, members, and visitors. Your primary responsibilities will include managing front-desk... operations, providing exceptional customer service, and supporting the CEO and management team in an administrative capacity.
You will be responsible for handling day-to-day tasks such as scheduling appointments, responding to client inquiries, managing memberships, and maintaining a well-organized front office. As a PA, you will assist the CEO and management with administrative tasks, including calendar management, emails, and organizing meetings, helping ensure the smooth running of the academy.
This role is perfect for someone who is highly organized, professional, and able to juggle multiple tasks in a fast-paced environment. Excellent communication skills, both written and spoken, are essential, as you’ll be interacting directly with clients, members, and team members.
Key Responsibilities:
· Front Desk Management:
· Greet clients, members, and visitors in a warm and professional manner.
· Answer phone calls and respond to emails and inquiries promptly and accurately.
· Handle membership inquiries, renewals, and cancellations.
· Manage class bookings, appointments, and schedules for both the academy and Truform wellness services.
· Client Relations:
· Assist members with questions regarding services, memberships, and programs.
· Address member feedback and concerns, ensuring a positive customer experience.
· Maintain the cleanliness and presentation of the front-desk area and waiting lounge.
· Administrative Support (PA duties):
· Assist the CEO and management team with scheduling meetings, managing calendars, and organizing internal and external appointments.
· Handle confidential information, including emails and documents, with discretion.
· Prepare reports, presentations, and documentation for meetings as needed.
· Coordinate internal communications and assist in maintaining smooth office operations.
· Operational Assistance:
· Work closely with the management team to assist in event planning, marketing initiatives, and other operational tasks.
· Manage and organize office supplies and maintain inventory levels.
· Help organize team events, meetings, and training sessions.
· Payments & Financial Handling:
· Process payments, manage invoices, and handle any membership-related financial transactions at the front desk.
· Maintain accurate financial records and report them to the management team.

Ideal Candidate:
· Fluent in English: Must be fluent in spoken and written English to communicate effectively with clients and team members.
· Experience: Previous experience in a receptionist or administrative role is preferred. Experience in a fitness, health, or wellness environment is a plus.
· Customer Service-Oriented: You’re personable, approachable, and dedicated to providing outstanding service to our members.
· Strong Organizational Skills: Ability to multitask and prioritize tasks effectively while maintaining a calm and professional demeanor.
· Tech-Savvy: Comfortable using computers, office software (MS Office, Google Suite), and appointment-scheduling tools.
· Team Player: Collaborative mindset with a willingness to assist colleagues and contribute to a positive team culture.
· Discreet & Professional: Capable of handling confidential information and tasks with discretion and professionalism.
