Job Title: Health Information Management (HIM) Operations Manager

Location: London /Hybrid

Full time 37.5 hours per week

Permanent

Salary: Up to £45,000 dependant on Experience

We’re looking for a Health Information Management (HIM)- Operations Manager to join our HIM Team based across several sites including our corporate office (2 Cavendish Square). The team provide a responsive, efficient, accurate and secure service for the management and storage of health records across HCA Healthcare UK.

As an Health Information Management - Operations Manager

You will support the Head of Health Information Management in the development of performance goals and short and long-term operational plans for each respective facility. Alongside the implementation and integration of our health information strategy and framework. This will involve strategy development, system and process design and configuration, underpinned by effective policies and practice to promote and support the delivery of... high quality, evidence-based healthcare for the UK division.

What You’ll Do

Quality Assurance
• Locally support corporate Health Information Management programmes to provide assurances around the integrity of all clinical data and ensure that providers can access accurate and complete health information when and where they need it.
• Assist in the design and improvement of auditing metrics to track performance against operating standards and regulatory performance.
• Address and resolve issues around the quality of information working with colleagues across the business, including document, process and data standardisation.
• Work with the Head of Health Information Management and local teams to ensure the continuation of high-quality clinical coding to meet both internal and external expectations and obligations. Whilst adhering to national and professional standards, govern HCA’s expectation for accurate, contemporaneous record keeping in all formats through control of content, storage, transportation and access.
• To be responsible for implementing a records and document management system that will ensure records are organised and protected to meet the needs HCA Healthcare UK in carrying out its business legally and effectively. Effectively monitoring quality and productivity of department functions to best support patient care and hospital needs.

Risk Management & Information Governance
• Working with the Head of Health Information Management, play a key role in identifying and delivering opportunities to improve information risk management, assurance and governance.
• Take responsibility for ensuring there are stringent processes and standards in place to manage all health record related Subject Access Requests facilities receive in line with legal requirements. Where required, in collaboration with the Head of Health Information Management, investigate all local Health Information Management record related incidents that are raised. Ensuring plans of work are developed for remedial or mitigatory action.
• Ensure facilities are compliant with all relevant legal retention periods and ensuring that all external storage providers adhere to timelines set out.

Regulatory Compliance & Assurance
• To ensure facilities meet their legislative and regulatory responsibilities in accordance with, but not exhaustive of the General Data Protection Regulation (GDPR) Data Protection Act 2018 (DPA2018), Access to Health Records Act 1990 (AHR90) Care Quality Commission and Caldicott Principles.
• Work closely and proactively with the Head of Health Information Management to ensure that records are managed to ensure accountability, data protection and mitigate records-related litigation risks, regardless of medium or format.
• Support the Head of Health Information Management in the monitoring of the facilities health information management activities, processes and standards to ensure compliance with the Care Quality Commission framework and all of HCA’s accreditation standards e.g. CHKS and JCI.
• Ensure that the Head of Health Information Management is advised in a timely manner of local high-risk incidents, complaints or cases that might have a substantial impact on patient care or reputation of HCA UK.

Leadership
• Train and lead direct reports to establish a culture of excellent customer service whilst also co-ordinating the activities of said staff to implement the standards, policies and processes set out.
• In collaboration with the Head of Health Information Management, manage the induction and training of new Medical Records Officers.
• Directs, administers, and controls the day-to-day operations and activities of facilities and programmes in an assigned area.
• Provides informal feedback on an ongoing basis and formal feedback in the annual performance evaluation process to identify and develop talent.
• Ensures a strong and robust communications process between all managers and staff within the area and across the division as needed by leading communications sessions and meetings with managers and ensuring the appropriate dissemination of communications to support staff.
• Deputise for the Head of Health Information Management where required.

What You’ll Bring
• Demonstrative experience of Health Information Management in a Healthcare setting.
• Extensive experience of managing and leading large multi-disciplinary teams. Able to lead influence and inspire others.
• Experience of operational management providing operational advice and guidance on health information issues.
• Demonstrable experience of collaboration and influencing at all levels within a complex system of stakeholders across a large multi site organisation.
• Ability to manage several competing demands, exercise judgement and escalate Information where required.
• Resilient and able to work with challenges and change: innovative, hands on and proactive leadership skills.
• Extensive knowledge and experience of health information management systems (Meditech Preferable) With high level knowledge of legislation governing information and records and all their implications.
