Position Overview:
We are seeking a highly organized and detail-oriented Company Travel Manager to oversee all aspects of corporate travel arrangements and services. The successful candidate will develop travel policies, coordinate travel bookings, ensure cost-effective arrangements, and manage relationships with travel service providers. This role is pivotal in ensuring employee safety, travel budget management, and smooth travel operations for all corporate trips.
Key Responsibilities:
Travel Coordination
• Plan, book, and manage all travel arrangements (domestic and international), including flights, accommodations, ground transportation, and visas for employees.
• Coordinate travel itineraries and provide detailed travel documents to ensure seamless travel experiences.
Policy Development & Compliance
• Develop and enforce a comprehensive travel policy that balances company budget and employee needs, covering travel expenses, preferred vendors, and booking procedures.
• Ensure... compliance with company travel policies and procedures, including adherence to budget constraints.
• Monitor travel expenses and report discrepancies or non-compliance issues to management.
Vendor Management
• Build and maintain relationships with travel agencies, airlines, hotels, and other travel-related service providers.
• Negotiate competitive rates and contracts with vendors to optimize travel expenses.
Risk & Safety Management
• Establish protocols to ensure employee safety during travel, including emergency response and tracking systems.
• Stay informed on global travel advisories, safety risks, and ensure employees are briefed on potential travel hazards.
• Manage insurance policies relevant to business travel and support employees in case of emergencies or incidents.
Expense Management & Reporting
• Oversee the travel budget, including forecasting, monitoring, and expense reconciliation.
• Generate reports on travel expenditure, savings, and trends to assist in budgeting and strategy formulation.
• Evaluate travel spend data and trends to identify cost-saving opportunities.
Travel Support & Troubleshooting
• Provide support to travelers, resolving any travel issues that arise during trips, including cancellations, rescheduling, and rebooking.
• Assist employees with any travel-related queries, such as visa processing, currency exchange, and travel insurance.
Qualifications:
Education:
• Bachelor’s degree in Business Administration, Travel Management, Hospitality, or related field. (Relevant experience can supplement formal education.)
Experience:
• Minimum of 5–7 years of experience in international corporate travel management, hospitality, or a similar field.
• Experience managing travel policies, vendor negotiations, and travel budgeting.
Skills & Competencies:
• Strong organisational and time management skills with keen attention to detail.
• Excellent negotiation and vendor management skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent written and verbal communication skills.
• Ability to handle high-pressure situations and solve problems quickly and effectively.
