The Maine State Police Training Unit is seeking a professional, positive, hardworking individual with excellent interpersonal communication skills to provide administrative support for our office in Vassalboro. This unit is responsible for training Maine State Troopers and for maintaining the ongoing training records of all sworn personnel in the Maine State Police. Primary responsibilities include:
- Monitor compliance of mandatory annual training topics established by the Maine Criminal Justice Academy for all State Police sworn personnel.
- Create tests and quizzes for the Recruit Training Troop with help from subject matter experts.
- Maintain databases for training records, Recruit Training Troop grades, and physical fitness testing scores.
- Complies with the requirements of State policies, including those concerning human resource components of security protocols of agency information security and confidentiality policies for state business purposes.
- Create and use varied correspondence formats and compose standard business correspondence.
- Post to, amend, and/or update web pages using established content and knowledge of modern office software.
- Assist employees and the public in person, email, and by phone with questions about training and recruitment.
- Place orders for equipment and supplies necessary for the Unit.
- Filing of State Police records, training documentation, etc, and producing those documents as requested by Maine State Police personnel or for Freedom of Information Act requests.
- Develop standard work procedures and organizational systems within established guidelines.
To be successful in the position, you must have knowledge of and experience in:
- Ability to create and use varied correspondence formats and compose standard business correspondence.
- Ability to prepare standard reports and perform basic administrative duties.
- Ability to stay current and understand, discuss, explain, and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology.
- Ability to make standard changes to web page content.
- Ability to effectively present information to individuals/ groups.
- Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.
- Ability to effectively resolve problems and exercise good judgment in appraising situations and making decisions/recommendations.
Additional responsiblities include but are not limited to:
- Training Record Data Entry Using Access & PowerDMS (in-service, new member transfer, RTT, MH coordinators), including BLETP certificates, Taser certificates, firearms qualifications, and transfer records (out of state applicants).
- Update Personnel Records in Access & PowerDMS, including retirements, resignations, promotions, and new hires & RTT members.
- Concentra forms distribution and data entry (excel), including gas mask fit testing, a Maine Department of Labor requirement.
- Invoice processing for psychological examinations, firearms ranges (Scarborough, Augusta, Old Town, Columbia Falls, Houlton), Lexipol/Police1 Academy, Northern Light Heath Care (medical examinations), Yankee Hill (firearms ammo), and Norridgewock (EVOC Training).
- P-card and expense reports processing.
- Out of state travel request forms and expense forms processing.
- Mandatory Training and Policy Review management, including sending out notification emails to MSP members on available training and deadlines, setting up new accounts for new hires, and running reports upon training deadline to provide the unit Lieutenant with those not in compliance.
- RTT administrative work, such as creating and updating recruit rosters in Sharepoint, developing weekly exams, entering academic scores into Access/PowerDMS, ordering Training Staff apparel, organizing graduation photos, programs, and academic transcripts, completing Training Staff and Recruit books, and coordinating with the academy on venue reservations, meals, lodging, etc.
- Assists in coordinating yearly supervisor training, including venue and meals.
- Assists Training Staff for Junior Troopers Academy (New to her this year), including processing applications, curriculum development/schedule, lodging, meals at the academy, ordering Staff and attendee apparel, and generating attendee certificates.
- Answer calls from SP members related to training and transcripts.
- Produce training transcripts upon request.
- Orders office equipment and supplies.
- Opens and processes mail.
Minimum qualifications:
Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.
