Join the team at Maine Revenue Services where we provide excellent service to the taxpayers of Maine. 

This position is assigned to Maine Revenue Services’ (MRS’) Operations Processing Center, providing office and administrative support work performing complex, varied office support tasks requiring the operation of technical office equipment.  Responsibilities require independent judgment, initiative, and discretion to make determinations on varied matters, including interpretation of tax laws, MRS rules and regulations, and departmental policies and procedures.  

 

While no two days are the same, on a typical day you will:

  • Utilize various workflow monitoring tools to provide support to the Business Manager to ensure MRS service level metrics are met. It is expected that this position reset priorities as needed to work toward reaching the common goal.
  • Maintain statistical data for multiple Operations Processing units. This includes reporting prior day output, current day input, and anomalies identified.
  • Train state and contract staff on TRIPS keying modules, mail handling, and/or imaging with a goal of accurate processing of data.  Provide feedback to staff and supervisors.  
  • Research and correct system problem batches that have failed automated processing.  This may include look ups in various MRS systems, moving cages in scanning and conducting manual searches for original tax documents within scanned paper files for reprocessing as necessary. Work with Operations Processing and MaineIT technical staff to ensure that resolution is achieved following the identified escalation procedures.
  • Assess unit needs, recommend, and implement improvements and procedures to meet the work goals. This responsibility includes writing and maintaining unit manuals.
  • Maintain inventory for multiple Operations Processing units to ensure the processing of work is not impacted. Inventory if managed using both electronic and physical methods. 

 

Essential skills required to be successful in this role:

  • Ability to maintain knowledge of forms and procedures, as well as the ability to ensure appropriate processes are followed.
  • Effective communication skills, oral and written.
  • Attention to detail, and accuracy.
  • Flexibility and adaptability. 
     
MINIMUM QUALIFICATIONS:

 

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.

Preference will be given to candidates with customer service and applied tax knowledge.

 

All job candidates applying for Maine Revenue Services’ positions will be subject to a tax clearance check.  To be selected for a position, all returns must be filed, and tax liabilities must be paid in full.  The results of the tax clearance check will be documented as part of the selection process.
