We currently have an opening for PolicyTech Administrator at our corporate office in Flowood, MS. The PolicyTech Administrator is a staff position in the Business Process Management Department (BPMD) that serves as the primary system administrator for the PolicyTech document management system. This position is responsible for the support, design, development, implementation, maintenance, and content of the PolicyTech system.
PolicyTech Administrator Responsibilities
Monitor the daily performance of the PolicyTech system to ensure the proper operation.
Develop training materials and documents for training PolicyTech users.
Train users on the PolicyTech system and the applicable roles they will perform in the system.
Answer user inquiries regarding PolicyTech operations.
Reassign users, reviewers, and writers as roles or employment changes.
Periodically check the Unfiled category and notify Document Controllers of unassigned documents.
Collaborate with clients to develop clear and functional file categories to be set in PolicyTech for users to navigate and retrieve their documentation.
Run reports and perform periodic checks on overdue reviews. Notify responsible persons of overdue reviews.
Import new documents and complete Property Wizard data and workflows.
Monitor workflow process, flagging delays, and other issues.
Notify individuals of system updates and potential impacts.
Create attachments and/or instructional pages for documents, web page access, YouTube, videos, MP4 or other information that must be linked outside of PolicyTech.
Verify completion of Ergon A&E Technical Operations and Sales Product Data Sheet documents before publishing.
Promote the use of the PolicyTech discussion board to keep accurate detailed information of all changes or conversations concerning a document.
Troubleshoot, investigate, resolve problems, and provide technical assistance and support for the following issues:
New user access issues to PolicyTech.
Owners not able to view documents properly for editing in PolicyTech.
Delays with publishing documents.
Links inside and outside of PolicyTech
Blocked access to AASHTO and ASTM Compass test methods.
Maintain a Troubleshooting Guide on all PolicyTech issues.
Keep abreast of developments in document management technologies and techniques.
Liaison between NAVEX support personnel, Ergon IT employees, and Document Controllers
Three years' experience with Electronic Document Management Systems (EDMS) preferred.
Proven skills with Microsoft Office programs.
Possess strong oral and written communication skills; ability to communicate complex technical concepts in plain language.
Demonstrated ability to produce accurate and timely results.
Possess excellent customer service skills.
Possess time management skills.
Possess strong organizational skills.
Ability to develop effective working relationships with other individuals, departments, and business units.
Ability to interface/collaborate with a variety of people with different technical levels and educational backgrounds at all levels of the organization.
Demonstrated ability to teach or train users/employees.
Ability to travel up to 25% of the time.
