As we continue to expand our presence in the market, we are seeking a talented Conference and Events Specialist to join our team and drive our conference and event marketing efforts to new heights. The Conference and Events Specialist will be responsible for supporting the planning, coordinating, and executing all aspects of our company's participation in conferences, trade shows, and other industry events with the Conference Strategy Manager. This role requires a creative and detail-oriented individual who thrives in a fast-paced environment and possesses strong project management skills.
Essential Functions
Event Planning and Coordination:
1. Research, identify, and evaluate relevant conferences, trade shows, and events for the company to participate in.
2. Coordinate all logistical aspects of event participation, including booth setup, signage, equipment rentals, catering, travel arrangements, and accommodations.
3. Develop and maintain relationships with event organizers, vendors, and internal partners to ensure seamless execution of events.
Marketing Collateral and Promotional Materials:
4. Collaborate with the marketing team to develop compelling marketing collateral, including brochures, flyers, banners, and promotional items, to enhance the company's presence at events in conjunction with Conference Strategy Manager.
5. Coordinate the production and distribution of marketing materials, ensuring timely delivery and adherence to brand guidelines.
6. Provide project management support for the conference strategy manager by assisting in the setup, configuration, and maintenance of Jira projects to streamline project workflows and team collaboration.
Pre- and Post-Event Marketing Campaigns:
7. Plan and execute pre-event marketing campaigns to generate excitement and drive attendance to conferences and events.
8. Implement post-event follow-up to support lead engagement and measure the success of event participation.
9. Maintain accurate inventory records to track the usage and availability of promotional materials throughout the conference and event planning process.
Budget Management:
10. Support the development and management of event budgets, ensuring cost-effective allocation of resources and adherence to financial targets.
11. Track expenses, reconcile invoices, and provide regular reports on budget status to management.
12. Provide expense reporting support by accurately tracking and documenting financial transactions to ensure transparent and efficient budget management.
Cross-Functional Collaboration:
13. Possess a passion for driving impactful communication strategies via social media and PR, coupled with a strong understanding of digital media and the ability to educate and collaborate effectively with stakeholders.
14. Collaborate with cross-functional teams, including business development, service lines, and internal customer communications, to align event strategies with overall business objectives.
Requirements
Bachelor’s degree in marketing, communications, business administration or a related field
Three to five years of experience
