Job Descrption

If you are an Engineering Document Coordinator looking to grow, Copeland has an opportunity for you!  Based in our Cudahy, WI location, the Document Coordinator will provide document management support, working with multiple teams, including Engineering, Project Management, and Operations. You will working efficiently in both collaborative and independent environments, using your attention to detail to ensure the accuracy, completeness of documents and records, and the use of correct revisions.

As a DOCUMENT COORDINATOR, You Will:

  • Ensure timely and accurate processing of transmittals
  • Manage shop folder creation and content
  • Ensure accurate distribution of engineering documents from vendors and customers to engineers and project managers
  • Purge completed shop/job folders of excess documents, scan retained documents and file shop/job folders, as needed
  • Obtain ASME Documents from Vendors and/or the National Board website and file accordingly
  • Submit ASME Documents for shipped orders, to appropriate customers
  • Upon Request from Customers:  Research Vilter Archives and obtain from Vendors or Engineers, appropriate ASME Documents on previously shipped Vilter equipment (Includes U1-A & UM Data reports)
  • Keep abreast of department technologies, techniques, and services relevant to area of responsibility and make recommendations for work process improvements, revisions of procedures and best practices
  • Work with customers and vendors to improve document handling
  • Assist with and provide backup support to Manuals Coordinator and/or Engineering Coordinator
  • Perform tasks associated with document management activities and maintains high-quality outputs in a fast paced environment.

Schedule:

The facility works 24 hours a day, 5 days a week. Our core office hours range anywhere between 7:00 AM – 5:00 PM, and are flexible given we work together to best support business demands as well as the needs of our customers around the world. 

Required Education, Experience & Skills:

  • Some college and one to three years of related experience or high school diploma and two to five years of progressively responsible-related experiences
  • Excellent written and oral communication skills
  • Proficient in the use of Microsoft Office (Word, Excel, Outlook, etc.)
  • Experience in document control practices and processes
  • Functions well in a fast-paced environment and deals with pressure in a professional manner
  • Effectively deal with and adjust quickly to changing priorities
  • Proactive, use individual initiative, follow assignments through to completion, be attentive to detail, produce quality products, and adhere to deadlines
  • Possess a high degree of flexibility, have strong interpersonal skills, and a proven record as a team player
  • Good organizational skills
  • Legal authorization to work in the United States - Sponsorship will not be provided for this position. 

 Preferred Education, Experience & Skills:  

  • College degree with technical or business background
  • Proficient with Autodesk Vault software
  • Oracle experience
  • Experience in an engineering organization
  • Proven record of processing documents with minimal error rates
