The Vendor Coordinator is responsible for partnering with internal/external vendors to process repair orders. The coordinator will collaborate with management to capitalize on opportunities for improvement through vendor management. This role includes detailed documentation and follow up as an integral function of the position to ensure vendor performance is meeting, if not exceeding, TCO and customer expectations. The coordinator will communicate with impact and serve as a liaison with other departments as it pertains to vendor orders. This includes prioritizing work, handling special/rush requests from other departments, and ensuring high accuracy and on-time performance. Reporting on key department metrics is another expectation of this position. This position will also participate in communication of issues and solutions to ensure high quality results and optimum service levels with both internal and external vendors.
Responsible for the processing, expedition, and communication of vendor repairs performed externally according to established guidelines.
Provide internal customer service by responding professionally to all telephone calls, emails, and face to face interactions within established time frames.
Provide support to the team by taking on different responsibilities in the department as required.
Proactively organize daily workflow and ensure timely movement of repair orders and estimates to avoid delays
Reporting and analysis on vendor delivery times and reporting findings to management
Monitor and report vendor performance data to management, including invoice and price discrepancy maintenance.
Partner and collaborate with management on improving vendor metrics and cultivating critical partnerships.
Be proactive and inform management of repair service issues and customer escalations.
Participate in research and special projects and/or ongoing tasks to meet the needs of the business.
Proactively resolve customer service related issues, questions, and concerns.
Manage and resolve day-to-day operational issues
The hiring range for this position ranges from $27 - $36/hr. The rate of pay offered will be dependent upon candidates’ relevant skills and experience.
Required Qualifications:
Undergraduate degree
Minimum 4 years' jewelry experience
Minimum 4 years' business experience with strong operational background
Experience working in an operations, technical, or luxury retail environment
Strong initiative and the ability to work without constant direction
Strong English language verbal and written communication skills
Meticulous attention to detail
High ability to collaborate, build strong business relations and influence without direct authority
Flexible work schedule and ability to work overtime as needed, including possible weekends
Excellent organizational abilities to manage and prioritize multiple tasks
Preferred Qualifications:
Vendor management experience
Tiffany & Co. product knowledge
Knowledge in AS400, JD Edwards and Compass
Previous microscope experience
