The primary function of the Sales and Marketing Tour Allotment Specialist is to monitor and disperse the allocation of tour waves as well as the day-to-day operation. This position is responsible for providing guidance and direction to all Control Room Team Members to ensure they have the skills to manage the tour waves for our Marketing and Sales Teams.
ESSENTIAL DUTIES AND TASKS
Monitor Call Center Allotment trends to optimize business operations, providing recommendations to Business Director and Vice President of Sales when booking trends do not align with business needs. Ensure allotment groups are appropriately categorized and not orphaned on individual allotment worksheets.
Identify inconsistencies in reporting between SMART and TSW and partner with IT team where allotments do not sync between systems (i.e., Missing wave times, negative allotments).
Monitor the tour allocations for Region 1 Sales Centers. Send updates to Sales Directors mornings/evenings. Prepare and verify weekly allotment upload for TSW and SMART.
Partner with Call Center Administration Team to review and approve/deny requests. Inform the Marketing management team of changes with tour wave availability in a timely manner.
Prepare gifting chargebacks from Orlando In House Marketing Tours for the week and provide summary intel to the Control Room for weekly payroll. Partner with Data Verification to add personnel to tour records for OPCs. Prepare OPC schedule for next week based on OPC Rank Report. Prepare weekly tour projections for offsite Sales Center
Prepare and distribute Weekly VPG reports to Sales Directors. Provide Cash Office with weekly cash projections for each Sales Center based on tour projections for the upcoming week.
Assists the Sales and Marketing departments ensure all issues are resolved in a timely manner. Work with Management to ensure all company policies and procedures are adhered to. Perform all other responsibilities deemed by Sales and Marketing executrices that are deemed instrumental to a successful sales and marketing operation.
EDUCATION and/or EXPERIENCE
College degree or equivalent experience preferred.
Supervisory experience required.
Advanced knowledge of Microsoft Excel.
Minimum of three years’ timeshare sales experience preferred.
Self-directed and independent but works as a team player.
Strong work ethic, high energy level and positive attitude.
