The Scheduling Specialist is responsible for tracking to ensure accuracy of time cards for physicians and CRNAs. Position will help implement new scheduling software including payroll interface, and help administer details of the new CRNA flexible work schedule.
Perform daily audits of time clock punches ensuring complete and accurate data collection for all providers and communicate with providers when there are time discrepancies. This will require knowledge of operational functions of the scheduling software used by the practice, which is currently Spinfusion (including Spinclockworks), but soon to be QGenda. This will also require detailed knowledge of all scheduling procedures as well as CRNA and physician call procedures to ensure providers are clocking in at the appropriate time.
Help administer the flexible work schedule for CRNAs. This will involve tracking hours worked each day for approximately 100 CRNAs to determine which CRNAs should be allowed to leave work first and communicate this to the appropriate individual whether that is the clinical coordinator, CRNA Director or the on-call Anesthesiologist. Manually track cumulative hours worked per week on a daily basis and monitor this data on an electronic format.
Recommends new approaches, policies and procedures to influence continuous improvements in department’s efficiency and services performed.
Help implement new QGenda scheduling system.
Primary backup to Credentialing Specialist.
Primary backup to Office Based Anesthesia (OBA) scheduling, paperwork, DEA paperwork, ordering drugs, etc.
Primary backup to Practice Supervisor with provider payroll and PTO administration.
Prepare reports for the Practice Director and Physicians with Medsuite and with the scheduling/time recording software.
Takes ownership of special projects, research data and follow through with detailed action plans.
Actively participates in problem identification and resolution and coordinates resolutions between appropriate parties in regards to the above listed responsibilities.
Attend the monthly Physician Advisory Board meeting and other meetings as needed.
Assist the Practice Director in managing the practice and be a full back-up to the responsibilities of the Practice Director.
Performs a variety of other duties.
Qualifications
Education Level: High school diploma or general education degree (GED). Bachelor’s Degree preferred.
Experience Years: 2+
Equivalent combination of relevant education and experience will be considered.
