Summary of Role: You will have overall responsibility for our HQ in London, as well as supporting the Manchester, Leeds, Birmingham and Glasgow offices. You will be the face of the company when greeting guests and the go to person for all things building related. This role is fast paced, and filled with a variety of tasks daily - no two days are the same!
Responsibilities
Be the face of OakNorth Bank that visitors and staff see, greeting and welcoming guests and announcing them to the onsite team
Manage couriers, deliveries and sorting and distributing correspondence, parcels, and post
Ensure all services necessary for the full and effective operation of the building in accordance with the provisions of the lease
Manage all building issues and external suppliers such as the office cleaner, plant maintenance, contractors and handyman and general maintenance, arranging necessary repairs as needed
Support the Office Manager to co-ordinate site visitors and meeting room requests · Signing in and out keys
Support the wider Facilities Team with administrative tasks as they arise in response to FM related issues.
Respond and support the resolution of ad-hoc and reactive facilities management activities as they arise.
Help assist with security and access control of the building and work with the IT Teams with onsite queries
Support the Office Manager in obtaining supplier quotes, manage purchasing and approval of invoices for completed works.
Ensure Health and Safety compliance with legislation and OakNorth Bank policies.
Support the Office Manager to ensure that all safety records, statutory inspections, reports and documentation are retained and up to date at the properties. Dealing with any unsafe acts/defects appropriately.
Support the Office Manager by participating in the completion of annual risk assessments alongside an external auditor to fully understand the risks at each property and ensure implementation of control measures
Providing executive support to members of our Executive team including diary management and scheduling of meetings globally
Required Experience
A friendly, and professional demeanour, able to work cross-culturally and remain calm under pressure
Highly organised and detail orientated with an ability to juggle multiple tasks and prioritise accordingly
Ability to work well in a busy and fast paced working environment
Strong passion for delivering five star customer service standards and maintaining these standards at all times
Understanding of the OakNorth’s brand
Someone who loves being a receptionist and working front of house interacting with people
Some Facilities Management experience
Some experience dealing with and managing Contractors
Some H&S experience
Previous experience as an EA or similar role involving extensive Exec level diary management
Strong Microsoft Office skills (inc. Word, Excel, PowerPoint, and Outlook). Some experience using Access Control and Booking system
