Overview

Come join our Human Resources (HR) Team as a HR Staff Assistant II for Utah State University! This position will be working at the front desk of Human Resources emanating an inviting welcome to the customers via walk-in or phones. This position is part of a fantastic team, working Monday through Friday from 8 am to 5 pm with a one hour lunch break.

Responsibilities

General office duties to include (but not limited to):

  • Provides general information, greets and directs visitors, and answers routine inquiries.
  • Processes employment verifications from multiple entities.
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned.
  • Provides administrative support including scheduling appointments and coordinating meetings/conferences.
  • Opens and routes incoming mail and distributes to department staff.
  • Composes and word-processes various standard documents and correspondence.
  • Copies, scans, and/or duplicates materials as requested.
  • Department Purchasing card support for the Department P-card holders. Collecting, reconciling and attaching receipts.
  • Orders, stocks, and distributes office supplies.
  • HR Building Coordinator
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Two years of experience in an office setting or an associate degree/vocational training is required.

  • Demonstrated experience in public/customer service role.
  • Ability to communicate clearly, both verbally and in writing with the public and customers.
  • Working knowledge of Microsoft Office programs
  • Ability to operate general office equipment.

Preferred Qualifications:

  • Relative post-secondary training or related certificate.
  • Prior clerical/office work experience.

Knowledge, Skills, and Abilities:

  • Ability and skill to make decisions regarding the day-to-day operation of the functional area.
  • Ability to maintain the confidentiality of records and information.
  • Database and records management skills.
  • Ability to prepare routine administrative paperwork.
  • Ability to analyze problems and develop or recommend creative solutions to human resources issues.
  • Demonstrated attention to detail.
  • Must act professionally when encountering customers who, at times, maybe frustrated or upset.
  • Ability to handle frequent interruptions while working on various duties.
  • Strong organizational skills.
  • Routinely process highly confidential and sensitive personnel records in a professional and confidential manner.
  • This position functions under minimal to moderate supervision.
  • Actively seek ways to assist customers.
  • Uses logic and reasoning to identify and recommend solutions and approaches to problems.

    Advertised Salary

    Minimum $37,000; Commensurate with experience, plus excellent benefits

    Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
