Definition of Class

The Project Support Assistant will provide administrative support and coordinate project activities to ensure the project is on schedule. The incumbent will help to schedule and organize meetings, manage project documentation, track project progress, and handle other administrative tasks for the project team.

Examples of Work Performed

  • Effectively communicates with team members and external stakeholders through written correspondence, emails, and phone calls.
  • Assists in drafting documents, memos, and reports as needed. Act as a liaison between different departments.
  • Manages multiple tasks and projects simultaneously while maintaining a high level of accuracy and attention to detail.
  • Prioritizes tasks based on urgency and importance, ensuring deadlines are met consistently.
  • Takes initiative to identify opportunities for project improvement and efficiency within the administrative function.
  • Proposes and implements solutions to streamline workflows and enhance productivity.
  • Takes ownership of tasks and sees them through to completion, seeking guidance and clarification as needed.
  • Stays ahead of upcoming deadlines and requirements, proactively identifying potential issues and finding solutions before they escalate.
  • Works to anticipate the needs of the team and take proactive steps to address them.
  • Performs other duties as assigned.
     

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

  1. Communicates effectively through multiple mediums to all levels of University leadership.
  2. Prioritizes project tasks and effectively organizes project team for task completion. 
  3. Tracks project progress and reports out to unit leadership

Minimum Education/Experience

Education:

High School Diploma or equivalent


                AND

 

Experience:

Two (2) years of experience related to the above described duties

 

Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources
