Definition of Class
This position manages the daily operational responsibilities of event planning for a College, School, or Program within the University. The incumbent oversees the upkeep and maintenance of assigned facilities, coordinates the planning and execution of on and off-campus events, and develops and maintains effective communication with internal and external constituents.
Examples of Work Performed
- Manages day to day operational functions of event planning.
- Collaborates with internal and external clients to ensure event spaces are reserved.
- Ensures assigned spaces are clean and maintained.
- Coordinates the planning and execution of on and off-campus events.
- Works with outside vendors to coordinate catering and other required services.
- Establishes and maintains relationships with suppliers, vendors, and clients.
- Creates schedules to provide appropriate staff coverage based on event requirements.
- Coordinates and communicates important calendar dates throughout the event planning process.
- Provides information to increase awareness of the services available to internal and external clients.
- Represents a College, School, or Program at on and off-campus events.
- Creates contingency plans for potential scenarios.
- Develops and implements policies and procedures related to event planning.
- Performs similar or related duties as assigned or required.
Essential Functions

Minimum Education/Experience
Education:
Bachelor’s degree from an accredited four-year college or university.
AND
Experience:
Two (2) years of experience related to the above described duties.
Substitution Statement:
Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
