Serco is contracted to provide Total Facilities Management to the Defence Academy of the UK (DA). This prestigious establishment is responsible for post-graduate education and most of the command, staff, leadership, Defence management, acquisition, and technology training for members of the UK Armed Forces and MOD Civil Servants.
Serco have an exciting new role as responsible to provide effective administrative and specialist functional support, ensuring a high standard to the Site Estates Team.
Main Accountabilities:
Staff, implement and manage the relevant Site Estate encroachment documentation for review, including membership details, utility usage, financial accounts, and insurance documentation to enable the unit to remain compliant in accordance with JSP850.
Assist the Site Estates Team in managing the Site Estates, Health & Safety policy including the 4C’s system, briefing visiting contractors outside of the CI contract.e.g. Gas and water suppliers etc.
Assist the Site Estates Team in identifying, prioritising, and staffing of new works matters, providing input as necessary to the “Statement of Requirement” through to checking and recording of works on completion.
Monitor the progress of each reactive maintenance works (top desks) on the Self-Service Portal system to ensure timely and compliant output.
Assist the Site Estates Team in validation and audit of Service delivery by Campus Integrator
Attend the monthly DA Estates Working Group Meeting, as minute taker. Produce minutes and distribute as necessary.
Maintain the Site Estates Admin Team electronic filing systems.
Contribute to the preparation of performance data for submission to senior management.
Co-ordinate the daily CCO services, including (for example) pre-booking of arrival to site by sub-contractor employees, using a shared calendar providing visibility of pre-scheduled visits.
Provide all sub-contractor employees with site safety brief, including reference to pre-existing related information, such as Building Hazard Registers.
Be able to account for sub-contractor employees working onsite at all times, including knowledge of their expected working location.
What you’ll need to do the role:
Previous Estate Management experience.
Previous Experience in a Customer facing role.
Previous Experience in either Finance or Accounting.
Experience of working within a similar sub-contractor control environment.
Working knowledge of legal responsibilities regarding duties for those in control of premises and sub-contractors, as contained within the Health & Safety at Work Act.
Knowledge of MoD safety arrangements, such as those contained within applicable Joint Service Publications.
