Serco is contracted to provide Total Facilities Management to the Defence Academy of the UK (DA). This prestigious establishment is responsible for post-graduate education and most of the command, staff, leadership, Defence management, acquisition, and technology training for members of the UK Armed Forces and MOD Civil Servants. Serco supports the DA as the MOD's primary link with UK universities and international military educational institutions.
Serco have an exciting new role as a Support Services Co-ordinator at The Defence Academy. You will be providing a range of duties in order to help support the team, from document control to providing support to Line Managers.
Please note this role is included in the flexible working policy with up to 2 days per week WFH if workload, customer and cover requirements allow.
Main Accountabilities:
Third part income event co-ordination, following internal processes, for all internal and external companies involved.
Maintain finance and revenue management reports, regularly reviewing costing model.
Developing and managing a Third Party customer database and conducting market research
Document control co-ordination for the department. Ensuring departmental Local Operating Procedures (LOP’s), Work Instructions (WI’s) and other standard documents are reviewed and updated when required. Monitoring of department document registers.
Emergency cover for business critical activities within the Support Services department. This role will have a broad knowledge of the department as a whole and be able to cover the basic core services of a variety of teams in emergency absence situations.
Implementation and maintenance of local and departmental MS Teams, SharePoint Site and associated file records management.
Creation, review and update any assigned work instructions relevant to your role.
Note taker for monthly CI contract meeting to support JSCSC Contract Manager and provide support for any other Top Desk requests for minute taking.
Actively engage with induction processes to ensure the successful completion of own and colleague’s probationary periods. Supporting colleagues development
Liaise with colleagues and customers and be fully conversant with workloads including effective communication with the Serco/Military/Customer colleagues.
Arranging appropriate meetings, including drafting agendas, managing attendance at meetings, active participation at meetings and production of action notes as required.
To provide cover/support/shadowing for other business critical Support Services posts as and when required, working in line with role success profiles when covering.
Such other duties and responsibilities in support of Serco business and as requested by Serco line manager or senior management.
What you’ll need to do the role:
SC clearance required within 3 months in post.
Previous Administration experience – essential
Ability to demonstrate electronic calendar management - essential
PC literate, with a good level of experience in MS Office including Outlook (essential), Word (essential), Excel (essential) and Power point (desirable)
Ability to interpret/analyse information, creating management reports – essential
Ability to learn on the job and retain information quickly – essential
