Facilities Management Coordinator

Part Time, Permanent (20 hours)
2.5 days per week (Wednesday 1200 - 1600, Thursday 0800 - 1630, and Friday 0800 - 1630)
£11,000 per annum plus benefits
Here at Serco, we partner with governments to provide public services across Defence, Justice & Immigration, Transport, Health, and Citizen Services. We are currently recruiting for a FM Coordinator to join our Facilities team on a part-time basis. Working as part our team, you will provide professionally Facilities Management to support the internal and external colleagues, customers, visitors, and contractors.
Main accountabilities of the role include:
- Signing in all visitors using the correct Local Operating Procedure, ensuring all visitors receive the appropriate pass and a briefing on Security and Health & Safety.
- Activating Serco ID passes as and when required.
- Process visitors, interviewees, groups, and contractors.
- Access control management and photos for new starters, ongoing controls, checks and updates, and processing leavers.
- Provide refreshments, meeting room management, visitor management, and MFD management.
- Manage the control of incoming parcels, notification, storage, and collection.
- Manage the administration of incoming and outgoing special deliveries, recorded deliveries, and 1st class post.
- Logging all maintenance issues with the Instant Offices helpdesk.
- Manage facilities requests, review weekly, update and close in a timely manner.
- Manage stock levels of refreshments, coffee supplies, milk, vending machine items, and monitor expiry dates.
- Raising annual and ad hoc POs in line with budgets, timely GRN’s and PO closures at year end.
- Support health and safety communications, reviews, and audits.
- Manage monthly checks and stock of all first aid boxes and record financial tracking.
- Manage your company credit card and keeping up to date records of purchases.
What you’ll need to do the role:
- Effective communication skills, both written and verbal, with ability to converse to all levels across the business.
- PC literate, with use of Microsoft Office.
- Previous experience within an administration/reception role.
- Self-motivation and ability to manage time and priorities well.
- Analytical and logical approach to problem-solving.
- Strong teamwork skills.
- Sound understanding of Facilities Management.
