37 hours per week (Monday – Thursday 08:00 – 16:00, Friday 08:00 – 15:30)
£23,030.78 per annum plus benefits
Serco have an exciting opportunity to join the team as a HQ Comms Lead Administrator. The Comms Lead Admin is a singleton post providing full administrative support to the MOD Comms team at the Defence Academy in addition to assisting with Communications output. The Post Holder will report directly to the Support Services Team Leader for all Serco line management functions. Technical direction, advice and guidance are provided by the MOD Comms team.
Main responsibilities of the role include:
Create, post, edit or remove items on the Internal Comms Platforms as required. These platforms include the News and Social area on the DAIS homepage (internal Defence Academy website), Defence Connect and defnet (on MODNET).
Produce the weekly round-up newsletter, ‘Comms Buzz’ and issue pan-academy.
Send out all-staff emails as required.
Maintain the Comms team document areas (filing).
Maintain the Comms team workload planner ‘Look Forward’ document.
Present the PowerPoint presentation at the monthly Comms Network meetings and record minutes.
Maintain Microsoft Teams area for the Comms Network (DEFAC-Comms Working Group.
Monitor TOPdesk enquiries, investigate, redirect, resolve and/or record as necessary.
General office tasks, such as ordering stationery, maintaining Comms distribution lists.
Provide administrative support for the DA External Website including, but not restricted to, amending text within the website and posting news articles.
Support the Digital Content Editor in maintaining and uploading content to the digital channels.
Assist in proof reading, production and amendments regarding Defence Academy publications, as directed by the customer.
Maintain stocks of promotional materials as required.
Provide administrative support for Comms events or DG Town Hall meetings.
Ad-hoc duties include:
Signposting support or assisting with surveys undertaken.
Assisting with template changes following branding update.
Serco duties include:
Regular reporting, as directed by Team Leader, to ensure awareness of general progress: continual improvements made (Serco) and their impact; successes; added value; issues affecting delivery (including changes in expectation); mistakes made and their resolution.
Creation, review and update of any assigned Work Instructions relevant to your role
Other duties and responsibilities in support of Serco business, as requested by Serco line manager or senior management.
What you need to do the job:
Good level of general education, with GCSE’s (A-C) or equivalent in English and Mathematics. Strong professional communication skills, spoken and written.
PC literate, with good experience of MS Office (Outlook, Word, PowerPoint and Excel are desirable).
Previous administration experience; knowledge and understanding of general office practices.
Good attention to detail; ability to interpret information and seek clarification by testing understanding.
Ability to: work unsupervised; maintain composure under pressure; adapt to change.
Ability to work collaboratively in a team environment.
Strong interpersonal skills - engaging well at all levels and with different cultures; demonstrating unremitting commitment to delivering customer service and building sound working relationships with key stake-holders.
Proven organisational skills; able to work in a structured and methodical manner.
Continually seeks improved and more efficient methods of working.
Successful completion of clearances – including BPSS security check. This will be arranged for the successful candidate via the Serco Central Vetting Team prior to commencing employment.
