BAM FM are looking to recruit a Facilities Administrator based Abbott Laboratories in Maidenhead.
37.5 hours Per Week (8am – 4pm)

As a Facilities Administrator you will work on the Facilities Help Desk and be responsible for taking incoming jobs, distributing work to engineers and subcontractors, creating reports and general administration.
You will be an excellent administrator with exceptional communications skills, highly organised and able to support others with their requirements in a timely fashion.

Answering calls, dealing with any queries and follow up on all emails from other departments, sites, contractors.
Ad hoc duties as and when required.
Assist with update and managing all site contractor files and maintenance records.
Assist with the escorting of contractors when necessary within the Office and Warehouse Facilities.
Provide ad hoc administrative and reception cover as and when needed.
Monitor all stock such as stationary and cleaning consumables. Undertake regular stock-taking and inventory checking, to establish physical verification of the quantities and condition of items held within the inventory.
Managing the Share Point site Facilities Help Desk, along with assigning any works accordingly to both the Technical Supervisor and or Soft & Hard Services Contractors.
Managing the Share Point site Facilities PPM planner, updating information on a day-to-day basis.
Assist and administer work permits for all contractors visiting site.
Undertake Contractor Inductions, as and when required.
To become a Fire Marshall for the Facilities team, assisting with roll call procedures.
Support and become a team member of the weekly Fire Alarm drill.
Assisting with incoming post and the identification of department post during morning deliveries by Royal Mail.
Liaising with customers to obtain signature for signed for letters and parcels.
Assisting with money refills associated the Franking Machine, along with localised training on the use of the machine and franking post as and when required.
To become trained in Legionella Awareness; assist in undertaking weekly tap and shower head flushing resume.
Must have excellent oral and written skills.
It is advantageous to have an understanding of maintenance systems.
Must be able to communicate at all levels.
Must be able to use Microsoft Word and Excel applications.
Maintain the Facilities handbook with comprehensive up to date procedures and a list of all key building suppliers and contractors.
Provide day to day support for the Technical Supervisor as required.
Can work alone as well as within a team.
Highly organised with excellent interpersonal and communication skill.
Diary management, organising meetings and booking of appointments.
Symphony (SAP) experience (advantageous but not essential).
Strong IT skills.
Good communication skills.
Customer focused, positive, can do attitude.
Ability to deal professionally and politely with clients, customers and colleagues
Excellent customer service skills.
Previous facilities (advantageous but not essential).
Good administration experience.
The successful applicant will have flexibility to support the business, occasionally outside of normal working hours.
Will be very organised and driven, open to supporting other functions within the business
