We are seeking a dynamic and detail-oriented Sales Support and Operations Specialist to join our growing team. The successful candidate will play a pivotal role in ensuring smooth and efficient sales operations, providing crucial support to the sales team, and maintaining high standards of customer satisfaction. This position requires a proactive individual with excellent organizational and communication skills, a keen eye for detail, and the ability to thrive in a fast-paced environment. A sales support specialist performs administrative tasks to support the sales team and help them to gain and keep customers. The sales support specialist will also respond to customer complaints and queries and will ensure that all orders are processed in a timely manner.
Responsibilities:
Assist the sales team by providing information on products or services, pricing, and promotions. Collaborate with sales representatives to ensure a smooth transition from sales inquiries to order processing
Receive and process customer orders through online platforms, phone calls, or other communication channels. Ensure accurate entry of order details, including product information, quantity, pricing, and shipping details
Maintain effective communication with customers to provide order confirmation, shipping updates, and relevant information. Address customer inquiries and concerns related to order status, product availability, and delivery times
Utilize order tracking systems to monitor the status of orders in real-time. Identify and resolve any issues that may arise during the processing and fulfillment stages
Coordinate with the inventory or warehouse team to ensure product availability and manage stock levels
Handle and resolve any issues related to orders, such as discrepancies, damaged items, or shipping delays. Collaborate with other departments to find solutions and provide excellent customer service
Maintain accurate and up-to-date customer orders, transactions, and interactions records. Ensure that all documentation complies with company policies and procedures
Implement quality control measures to ensure the accuracy of order processing. Double-check orders for completeness and correctness before they are dispatched for shipping
Identify opportunities for process improvement and efficiency. Collaborate with relevant teams to implement changes that enhance the overall order processing workflow
Develop and maintain a strong understanding of the products or services offered by the company. Provide customers with accurate information about products, pricing, and promotions
Strive to exceed customer expectations and contribute to overall customer satisfaction. Seek feedback from customers and use it to improve the order processing experience
Requirements:
Degree in economics, logistics, marketing, international trade/or equivalent through experience
Proficient knowledge of English, other languages are a plus
Proficient knowledge of Microsoft Office, SAP, Lotus Notes
Experienced with imports, financial instruments like L/C (Letter of Credit) and logistics
A natural appetite and talent for detail and absolute accuracy is a must
Pro-active, organised, flexible and well-structured, team-player
Ability and resilience to work under time pressure
Curious nature and willingness to learn and expand skills
