Key Responsibilities:
· Supporting the Manpower Planner with the timely planning of mobilisation and demobilisation of Field Service Technicians (FST’s)
· Processing Visa’s/work permits for oversees deployment of FST’s.
· Arranging FST’s transport and accommodation as required.
· Control and manage car hire booking system.
· Manage booking of FST accommodation, both directly and through 3rd party service provider.
· Management of PPE stock and timely issuance to FST’s when required.
· Liaise with Project Operations team regarding the required FST’s competencies in line with customers contractual requirements.
· Cost control – Liaise with the Project Operations team to stay within contracted mobilisation cost limits.
· Assist in the induction, observation, and organisation of 3rd party FST’s.
· Monitor FST training records database and arrange new and refresher training courses when required.
· Raise purchase requisitions where required.
· Support wider Project Operations team with various administrative tasks including, but not limited to, preparation of invoicing documentation, preparation of 3rd party inspection paperwork & processing of project equipment lists.
· Utilise Oracle ERP system to input and maintain service project data.
· Cover administrative functions within the wider team during times of absence/leave, including support of timesheet processing and raising of purchase requisitions in support of the Project Operations team.
Required Capabilities:
· Experience in a similar role in operations administration or personnel logistics planning, preferably with a service-focused company.
· Experience and good working knowledge of processes involved in planning and operations management systems.
· Must be a resilient, self-starter able to work under pressure and show initiative as well as demonstrate an ability to multitask and work independently in a fast-paced environment.
· Excellent written and verbal communication skills
· Experience using Oracle or other ERP system on a daily basis.
· Proficiency with MS Office applications
· High degree of ethics and personal conduct.
· Adherence to all company HSE policies and practices.
