You will join a small, dedicated team that leads the delivery of two global events: MWC Las Vegas and MWC Shanghai – with an overview of the entire event program, from initial planning to delivery. The candidate will have the opportunity to manage multiple projects, work across a variety of functional teams, and engage with team members both domestically and internationally. The candidate will be able to tap into a wide array of skills and project management acumen to help us deliver two of our organisation's flagship events and programs, features and activities within those events.

About the Team
The Program Management Office team plays an extremely important role in ensuring the successful delivery of the annual MWC Las Vegas and MWC Shanghai, the key GSMA events in the Americas and Asia. Our team works across different functional teams to ensure the KPIs of the event will be achieved. We are passionate about delivering events that convene our industry.
About the Role
Project management:
Taking ownership and responsibility to lead the assigned projects to ensure successful delivery at MWC Las Vegas (example such as the event transport plan, working offices, etc.), including but not limited to event planning, cross-functional teams management and partner collaboration, key milestones tracking, budget management, analysis of results for future planning, etc.
Accommodation Management
Managing the collation and tracking of all internal accommodation team accommodation requirements.
Managing supplier hotel accommodations
Contract negotiation and management of suppliers:
Contract negotiations and management of contractual relationships between GSMA and primary partners and suppliers related to event, which are not specific to other functional areas or which can be more efficiently managed from USA than elsewhere, including regular contract reviews.
Financial management:
Project budget management including management of tenders, quotes, purchase orders and invoice payment.
Provide regular reporting on budget forecasts and actuals to finance and Event Director
Strategic and Co-located Partner support, liaison and management
Work with Head of Events and New Program Development to identify strategic and co-located partners.
Support the development of agreements and contracts
Manage strategic partner on-boarding, implementation, ensuring incorporation into our processes and promotions
Programme Office reporting:
General support such as communication and documentation of the weekly project calls, project milestones as well as other duties assigned by the Event Director.
Weekly reporting of key issues /milestones to the Event Director and Head of Events
Strategic Audience Management
Working with and managing special invites and RSVPs for strategic audiences
Liaison with executive assistants for management of schedules and invitations to receptions, dinners, exhibition booths.
Curate specific schedules to support their time at MWC Las Vegas and MWC Shanghai
About You
You have demonstrable experience and are passionate for the planning and delivery of events and event programs.
You have experience managing event programs both domestically and internationally.
You can manage multiple projects, big and small, simultaneously.
You’re a team player, comfortable in a matrix organisation.
You have attention to detail and understand that the details matter.
You have the ability to handle a fast-paced environment, with many stakeholders and players.
You have adaptable interpersonal skills and are sensitive to cultural backgrounds.
You have strong communication skills and the ability to communicate with different levels of an organisation.
You are flexible to take on any project and thrive when working on several at once.
You have budget management experience.
You understand event marketing and how companies use events to reach their ROI.
You have the ability to engage with a variety of internal and external audiences, including senior-level executives, executive assistants and government personal.
You understand how to manage vendors and suppliers and you nurture relationships with them.
