Job Description

Legal and General Investment Management are on the look out for a Personal Assistant to join their team on an 17 month FTC.

What you will be doing:

  • Extensive management and gatekeeper of Head of Solutions diary.
  • Selective diary management for Head of Solutions’ Leadership Team as and when requested and for holiday cover
  • Processing expenses
  • Organising travel for Head of Solutions (and others as required) including rail, flights, hotel, taxis and visas. Providing travel itineraries and coordinating materials required for trips as needed.
  • Supporting the Head of Solutions in a business management capacity including HR projects, finance and budget plans, technology deployment
  • Work collaboratively with the Operational Resilience team to ensure that all disaster recovery testing is completed and successful for the team
  • Acting as secretary for management team meetings including agenda management, meeting room management, attendee coordination and action tracking
  • Creating presentations, compiling and collating data for meetings
  • Responsible for some correspondence from the Head of Solutions
  • Proactively managing all recruitment processes for the Solutions team alongside HR. Including organising briefing calls, liaising with agencies, keeping records up to date
  • On boarding all new joiners, providing them with all necessary information prior to them joining the team
  • Managing updates to organisational charts, biographies, web content etc. in conjunction with colleagues around the business e.g. marketing.
  • Carrying out ad hoc duties/tasks
  • Play an effective part in the leadership team as well as the wider Solutions team

Qualifications

  • Experience providing 1-2-1 support to a business leader, as well as a wider team
  • Experience of managing multiple busy diaries
  • Previous PA experience working within a financially orientated business
  • Ability to communicate at all levels of the organisation, external suppliers and customers
  • Proficient ability with Microsoft Office programmes
  • Experience of being a team player and building morale across a large team
  • Some business management and line management experience is desirable
