Job Description Summary

The Sr. Administrative Assistant will report directly to the Director of Operations. This position is responsible for providing general administrative support to the Director of Operations, managers and other members within the Operations organization. Duties include, but not limited to, scheduling meetings, managing calendars, drafting and sending correspondences, event planning, managing office supplies, coordinating travel, submitting expense reports, assisting with timekeeping, emailing, scanning, and copying.

Job Responsibilities:

  • Works on assignments that may be complex in nature, where independent thinking and a high degree of initiative are required in resolving issues and developing recommendations.

  • Maintains a high level of discretion and sensitivity.

  • Coordinates domestic and international travel arrangements/itineraries utilizing sound judgment to ensure all arrangements are appropriate and properly timed.

  • Responsible for organizing meetings, scheduling appointments, coordinating conferences, and taking detailed meeting minutes.

  • Helps in the development and management of the Plant’s internal and external communication strategy. Prepares presentations, drafts and distributes business correspondences.

  • May coordinate with internal and external management-level staff to accomplish activities.

  • Ensures proper handling, record storage, and other document as per the BD Record Retention Policy.

  • Plays an active role in maintaining the company's internal and external reputation and strengthening of BD’s social responsibility.

  • Handles comprehensive event organization tasks, which encompass drafting the communication related to activities, coordinating meal services arrangements (event setup and cleanup) requesting price quotes, preparing cost calculations and collaborating with vendors, subcontractors, and or other personnel as necessary.

  • Supports onsite and offsite meetings that involves participants from other BD sites or external to BD and offers overall assistance to visitors, including welcoming them, facilitating introductions, and addressing their inquiries Helps in Operations related procurement activities with company card and serves as point of contact (superuser) for the  procurement system for the Operations team.

  • Provides support for online compliance training questions.

  • Supports timekeeping activities for the designated groups and serves as the primary contact for timekeeping-related inquiries.

  • Elaynsures common areas of designated office areas are meticulously maintained, and office supplies are consistently replenished and well-stocked.

  • Helps administers the Operations Employee Site Recognition Program in close partnership with the HR Partner.     

  • May provide new hire support to HR Business Partner.

  • Other projects or duties as assigned.

Education and Experience:

  • High School diploma, GED or equivalent education is required; AA is preferred.

  • A minimum of 3 years recent previous administrative experience, supporting senior management is required.

Knowledge and Skills:

  • Proficient interacting with individuals at all levels.

  • Requires demonstrated experience maintaining confidentiality, handling sensitive information with tact and diplomacy.

  • Excellent written and verbal communication skill, including strong grammar, spelling, punctuation, composition and proofreading abilities.

  • Advanced knowledge of MS Word, Excel, PowerPoint, and Outlook required.

  • Ability to thrive in a fast-paced and rapidly changing environment.

  • Meticulous organizational and time management skills, with great attention to detail, and the ability to multi-task effectively.

  • Successfully manages shifting priorities and balances requests from multiple individuals.

  • A self-starter who learns quickly and works efficiently.
