A little taste of your day-to-day:
Every day is different at IHG, but you’ll mostly be:
● Working as your Manager’s trusted second-in-command
• Manage the Manager's calendar, scheduling meetings, appointments, and travel arrangements, and ensuring that all commitments are met in a timely manner.
• Coordinate and prioritize incoming requests and correspondence for the Manager including emails, phone calls, and meeting requests, and respond or delegate as appropriate.
• Prepare and distribute meeting agendas, documents, and presentations for internal and external meetings attended by the Manager, ensuring that all participants are well-informed and prepared.
• Attend meetings with the Manager as required, taking notes, recording action items, and following up on action items to ensure timely completion.
• Act as a liaison between the Manager and internal departments, external stakeholders, and clients, communicating information, requests, and instructions effectively and confidentially.
• Assist the Manager in preparing reports, presentations, and other documents, ensuring accuracy, consistency, and professionalism in content and formatting.
• Coordinate special projects and initiatives as assigned by the Manager, providing administrative support and ensuring successful execution and completion.
• Maintain confidentiality and discretion in handling sensitive information and communications related to the manager's office.
• Contributing to a functional work atmosphere by supervising office management tasks, from supplies to technical support.
What We need from you:
• Bachelor's degree in Business Administration, Secretarial Studies, or related field.
• Proven experience as an Executive Secretary or similar role, supporting senior executives in a fast-paced and dynamic environment.
• Excellent organizational and time management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
• Strong communication and interpersonal skills, with the ability to interact professionally and confidently with individuals at all levels.
• High level of attention to detail and accuracy in handling administrative tasks, including scheduling, correspondence, and document preparation.
• Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Discretion and confidentiality in handling sensitive information and communications.
• Multi-lingual. Fluency in English is required; proficiency in Arabic is an advantage.
